Collections

What are collections?

A collection is a library of files that you create in advance and that Aki can consult during your conversations using RAG (Retrieval-Augmented Generation).

Instead of attaching your files every time you start a conversation (which quickly consumes context tokens), with collections the content is pre-indexed in vector format and Aki queries it on demand, without using unnecessary tokens.

What are they for?

  • Students with a lot of documentation, notes, summaries, and class recordings.
  • Professionals managing a large number of company files.
  • Teams with recorded meetings that are hard to recall later.
  • Any case where you need to query your own content without re-attaching it every time.

Collection types

  • Text only: extracts only the textual content of files (PDF, Word, Excel, etc.). Use it when you don't need images or audio: it's faster to index.
  • Multimodal: extracts text + embedded images in documents + audio files. Use it when your documents contain diagrams, explanatory graphics, or relevant audio.

Tip: If your files have no diagrams or audio, we recommend using a text-only collection for faster indexing.

How to create a collection

  1. Go to your Aki Agent account.
  2. Click the gear icon (⚙️) in the top right.
  3. Select Manage collections.
  4. Click New collection.
  5. Choose the type: Text only or Multimodal.
  6. Give the collection a descriptive name (e.g., "Traffic Laws", "Project X Documentation").

Uploading files

Once your collection is created, you can upload the files you want:

  • Documents: PDF, Word, Excel, etc.
  • Images: PNG, JPG, etc. (multimodal collections only).
  • Audio: MP3, WAV, etc. (for example, recorded meetings, classes, or presentations; multimodal collections only).

The indexing process will take more or less time depending on the collection type and content volume. A multimodal collection with images can take several minutes. During that time, you'll see the processing status of each file.

Querying a collection in a conversation

Once your collection is indexed, using it is very simple:

  1. Open a new conversation in Aki Agent.
  2. Mention the collection by its name. For example: "Query the Traffic Laws collection and tell me what the law says about helmet use."

Aki automatically queries the collection and responds citing:

  • Which file the information was found in.
  • Which specific article or section.

Querying images

If you use a multimodal collection, you can ask it to find specific images:

"Is there any image showing a car accident in this collection?"

Aki will search among the indexed images and show you the relevant ones it finds.

Querying audio

You can query the content of uploaded audio files:

"What does the collection, especially the audio, say about the standard signaling system?"

Aki will give you the information and indicate approximately at which minute of the audio that content can be found.

Activating collections in a chat

In the chat interface, you'll see an Active collections section. From there you can:

  • See which collections are active for that conversation.
  • Activate or deactivate collections per conversation.
